Providers supporting the customer service

IONOS

Hosts the application, customer workspace database and document-search services on a UK server.

Contabo

Hosts company and property research services in Portsmouth, UK. These services handle reference data and research lookups.

Cloudflare R2

Stores uploaded documents and recovery backups in private buckets in Western Europe. The current storage configuration does not provide a contractual UK-only or EU-only restriction.

Anthropic

Provides AI research, drafting and document classification directly. Prompts and relevant research or document content are processed through a US workspace with global processing. Commercial API content is not used for model training; standard retention and documented exceptions apply. See Anthropic’s commercial terms and retention information.

Mistral AI

When scanned-document reading is enabled for an organisation, relevant page images are sent directly to Mistral to extract text and tables from scans, images and complex layouts. API model-training use is disabled. Provider processing and retention terms apply; we do not promise UK-only processing or zero retention. Extracted figures should be checked against the original.

Resend

Delivers account emails and enabled monitoring notifications. Sending is configured in Ireland; email content and delivery logs are stored in the US.

Research sources and website analytics

PropertyData receives property lookup parameters and valuation inputs, rather than uploaded lender documents. It is a UK research-data supplier whose privacy policy allows international processing, including in the EEA and US. Companies House is also used as a public-record source. These research sources are listed separately because their role depends on the service and information involved.

With a visitor’s consent, Google Analytics measures use of the public website. It is not used to analyse private application pages or lender documents. See the privacy notice for details and cookie choices.

Locations and retention

Although the main servers are in the UK, some processing and storage takes place outside the UK. International processing is governed by your organisation’s agreement. Eben does not promise UK-only processing or zero provider retention.

Routine document deletion has a seven-day recovery window. Routine recovery backups are retained for 30 days, with expiry checked daily. Separate original-document backup copies are removed once they are over 30 days old, absent from the live database and no retained recovery backup needs them. Backup removal therefore follows the recovery window rather than happening immediately when a document is deleted. Return or deletion when the service ends is covered by your agreement.

Changes and questions

Where your agreement incorporates this list, Pixelbrink will give your organisation’s nominated contact at least 30 days’ notice before adding or replacing a subprocessor, so you can raise reasonable data-protection objections before use. The agreement explains how objections are handled. Updating this page does not replace that notification.
